Your Load Got Rejected at the Receiver. Here Is What To Do in the Next Hour
Leaning pallets, stretch wrap failures, mixed SKUs on a pallet, wrong label placement, overheight pallets — receivers reject freight for reasons that have nothing to do with the driver. But the driver is the one sitting in the lot.
This is the sequence that saves the most loads.
1. Document before you leave the property
Without documentation, the freight claim conversation later becomes your word against theirs. Two minutes of photos protects everyone.
- Photograph every pallet from two angles, including the damaged or non-compliant ones
- Get the rejection reason in writing on the BOL or receiving paperwork
- Note the receiver name, time and door number
- Photograph the trailer floor and load bars if shifting was the cause
2. Call dispatch and a rework dock at the same time
Do not wait for your dispatcher to find a solution before you find a dock. Call both. Our line is answered 24/7 at (919) 601-2176 and we answer every call 24/7.
3. Decide: restack, re-wrap, relabel or full rework
Most rejections are fixable in a few hours if the freight itself is undamaged. The expensive path is hauling it back to origin.
- Leaning or collapsed pallets → restack and re-wrap
- Label or barcode issues → relabel to the retailer spec
- Overheight or overweight pallets → break down and rebuild to spec
- Mixed or mis-picked SKUs → sort, verify and rebuild by SKU
4. Get a reference number and a return appointment
Once the load is booked into a dock, you have a reference number, a status you can track and paperwork showing the freight was corrected. Many receivers will re-slot a same-day or next-morning appointment when you can show a corrected load and photos.
Bottom line
Document, call, rework, redeliver. Most rejected loads deliver within 24 hours when the driver acts in the first hour instead of the fourth.
